Often, local sites are required to enter data into an external database. In those cases, we recommend that the local site work with their data support team member and state director to schedule a data file share each January. The data file share ensures the local site meets data collection requirements without having to enter the same information into DAISY. This article walks coordinators through the data submission protocol.
Data Submission Protocol
Step 1. Notify your state director and data support team member.
Whether this occurs during check-in or via email, it is essential to notify both your state director and data support team member that you are required to enter data into a database other than DAISY.
Step 2. Update your site details.
In your site details, answer Yes to "Does your site use a database other than DAISY?" and select the data elements your site will submit annually to the national center.
Step 3. Enter all other data into DAISY
The most common data elements that are entered into an external database are ASQ questionnaires (Family model), referrals, and visits. Use this table to determine which other data is required to enter into DAISY.

Step 4. Do a test run
Every data system is different. What a data export looks like depends on the data type and source. This is why we strongly recommend sending a test export before the official submission. The timing of the test export should be determined with your data support team member during your check-in.
Step 5. Submit on time
All data submissions are due on January 31st. They should be uploaded to the Annual Requirement section in DAISY. In the pop-up window, select the type of data export you are submitting in the Document Type dropdown.
